Refund Policies

Inclement Weather Policy: In the event a meeting is cancelled by WVSMA a refund will be offered. However, in the event a meeting is postponed (meaning new dates are given at the time of notification) by WVSMA, registrants and vendors will be offered a choice of the following options: (1) The opportunity to send someone in their place; (2) A credit that can be applied to another WVSMA meeting or course within 12 months or (3) A 50% refund of the amount they paid. This is to cover any costs associated with credit card processing as well as food and beverage costs associated with the hotel that have already been guaranteed by WVSMA.

Refund Policy: If you are unable to attend the conference we ask that you send a substitution in your place. However, if a substitution is not available your refund will be minus 50% of the amount paid, per registrant, only if you notify WV State Medical Association (WVSMA) in writing no later than 3 weeks prior to the event date. All written cancellations must be sent to Karie Boggs, Director, Operations and Conference Services at karie@wvsma.org or 4307 MacCorkle Avenue SE Charleston, WV 25304. If you cancel after this time period no refunds will be issued. The refund policy applies to registrants and vendors.

Refund Policy Pertaining to PMI Courses: If you are unable to attend a PMI certification class that you have previously registered for we ask that you send a substitution in your place. However, if a substitution is not available your refund will be minus 20% of the amount paid, per registrant only if you notify WV State Medical Association (WVSMA) in writing no later than seven days prior to the event date listed on the WVSMA event website page. All written cancellations must be sent to Karie Boggs, Director, Operations and Conference Services at 4307 MacCorkle Avenue SE Charleston, WV 25304 or karie@wvsma.org. If you cancel after this time period no refunds will be issued.
